Waiver

Release and Indemnity: I acknowledge that I have agreed to volunteer my time and services in the 2026 GMS Queen City Marathon (“QCM”), and further acknowledge that I am physically fit and able to participate as a volunteer. I further acknowledge that I am solely responsible for my own safety and will take all necessary and reasonable steps to ensure not only my safety but that of fellow volunteers and QCM participants. I am aware that my involvement with the QCM as a volunteer could result in death, injury, lose or damage to my person or property and freely assure emergency care in the event of my illness or injury and waive all privacy requirements as they relate to the use of my recent photograph by the QCM in connection with the event. Finally, this release is binding on my heirs, executors, administrators, successors and assigns, or any of them. I agree that this release shall save harmless and indemnity Queen City Marathon Inc., its corporate sponsors, cooperating organizations, the race participants, QCM employees, directors, officers, volunteers (collectively referred to as “the releasees”) from all claims, demands, actions, costs and expenses arising from volunteering in this event, not withstanding that this loss may have contributed to in whole or in part by any or all of the releasees.


Code of Conduct:
This Code of Conduct outlines the standards of behaviour expected of everyone associated with Queen City Marathon Inc., including employees, volunteers, and board members. It promotes a safe, respectful, professional, and inclusive environment while protecting the organization’s reputation, stakeholders, and community.

It applies to all organizational activities, whether on-site, off-site, or online.
Guiding Principles - All members are expected to:
1. Act with integrity and honesty – Make decisions that are fair, transparent, and in the best interest of the organization.
2. Respect others – Foster a culture of inclusion, fairness, and dignity. Harassment, discrimination, or bullying will not be tolerated.
3. Maintain confidentiality – Protect private and sensitive information about participants, volunteers, employees, and the organization.
4. Avoid conflicts of interest – Disclose personal, financial, or professional interests that may interfere with organizational duties.
5. Comply with the law and organizational policies – Follow all applicable federal, provincial, municipal laws, and internal policies.
6. Promote the organization positively – Uphold the reputation, mission, and values of Queen City Marathon Inc.
Workplace Conduct - All employees, volunteers, and board members must:
• Maintain a safe, respectful, and harassment-free environment.
• Use organizational property and resources responsibly.
• Communicate respectfully with colleagues, participants, and the public.
• Participate in training, follow supervision, and adhere to organizational procedures.
• Abstain from alcohol or illegal drug use while performing duties.

Volunteers are expected to:
• Complete assigned duties responsibly and reliably.
• Notify the organization promptly if unavailable for scheduled activities.
• Follow instructions and guidance from employees or board members.
• Represent the organization positively in all interactions.

Social Media & Digital Conduct - All representatives of Queen City Marathon Inc. must:
• Communicate online respectfully and professionally.
• Clearly distinguish personal opinions from official organizational statements.
• Protect confidential and sensitive information.
• Avoid posting content that could be considered harassment, discrimination, or damaging to the organization’s reputation.
• Use organizational social media accounts responsibly; personal accounts should not reflect negatively on the organization.

Reporting and Accountability
• Suspected breaches of this Code must be reported to the Executive Director, Board Chair, or designated contact.
• Reports will be handled confidentially, respectfully, and promptly.
• Violations may result in corrective actions, including dismissal, termination, or suspension.
• No retaliation will occur against anyone reporting a concern in good faith.

Acknowledgment of Receipt

I have read and understand the Queen City Marathon Inc.’s Code of Conduct. I agree to abide by its principles and standards.
